This policy describes how Wooble handles personal information for companies and authorized users of the Wooble company portal.

1. Introduction

This Privacy Policy explains how Wooble ("we", "us", or "our") collects, uses, stores, and protects personal information when you use the Wooble company portal, related hiring workflows, and associated services (collectively, the "Services").

The Services are designed for companies and authorized hiring team members who evaluate early-career technical talent through proof-of-work challenges, submissions, and structured review.

By creating an account, signing in, or otherwise using the Services, you acknowledge that you have read this Privacy Policy. If you do not agree, do not use the Services.

2. Scope and roles

This policy applies to company users who access the company portal at company.wooble.org and to information processed in connection with hiring workflows you run through Wooble.

Wooble may also process candidate information submitted in response to your challenges. When you use the Services to evaluate candidates, you are responsible for ensuring that your use of candidate data complies with applicable employment, privacy, and data protection laws.

3. Information we collect

We collect information in the following categories:

  • Account and profile data: full name, work email address, company name, company domain, role, authentication credentials (stored as salted password hashes), and session identifiers.
  • Company workspace data: challenge briefs, role descriptions, review notes, shortlist decisions, interview status, and related hiring workflow records.
  • Uploaded files: documents, attachments, logos, and other files you or your team upload through the portal, including file metadata such as original filename, content type, and size.
  • Technical and usage data: IP address, browser type, device information, timestamps, request logs, and security events needed to operate and protect the Services.
  • Communications: messages you send to us, including demo requests, support inquiries, and account-related correspondence.

4. How we use information

We use personal information to:

  • Provide, operate, and maintain the company portal and hiring workflows.
  • Authenticate users, manage sessions, and prevent unauthorized access.
  • Store and deliver challenge content, submissions, reviews, and hiring decisions you create.
  • Generate signed upload and download links for files stored in our cloud environment.
  • Monitor performance, troubleshoot issues, and improve reliability and security.
  • Respond to inquiries, provide customer support, and send service-related notices.
  • Comply with legal obligations and enforce our Terms of Service.

6. How we share information

We do not sell personal information. We share information only as described below:

  • Within your company workspace: information you add to the portal is visible to authorized users in your organization according to their role and permissions.
  • Service providers: we use infrastructure providers to host the application, database, file storage, and security services. These providers process data on our instructions and under contractual safeguards.
  • Legal and safety: we may disclose information if required by law, regulation, legal process, or governmental request, or when necessary to protect rights, safety, and integrity of the Services.
  • Business transfers: if we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction subject to continued protections.

7. Storage, security, and retention

Company account data, hiring workflow records, and session information are stored in managed PostgreSQL databases. Uploaded files are stored in Google Cloud Storage buckets configured for the company portal.

We apply administrative, technical, and organizational measures designed to protect information, including access controls, encrypted transport, hashed credentials, and least-privilege service accounts.

We retain information for as long as your organization uses the Services and as needed to meet legal, accounting, or security requirements. You may request deletion of account data subject to applicable law and legitimate business needs.

8. Cookies and session technologies

We use essential cookies and similar technologies to keep you signed in, maintain session integrity, and protect against abuse. These cookies are required for core functionality of the company portal.

We do not use advertising cookies on the company portal. If we introduce optional analytics in the future, we will update this policy and provide appropriate controls where required.

9. International processing

Wooble is based in India. Your information may be processed in India and in other countries where our service providers operate, including cloud regions used for hosting and storage.

Where required, we implement appropriate safeguards for cross-border transfers consistent with applicable law.

10. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to receive a copy of information you provided.

You can update account details through the portal where available, or contact us to exercise your rights. We may need to verify your identity before responding.

If you are located in the European Economic Area, United Kingdom, or other regions with dedicated privacy laws, you may also have the right to lodge a complaint with a supervisory authority.

11. Children

The Services are intended for business use by adults acting on behalf of companies. They are not directed to children under 16, and we do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and revise the effective date above.

Continued use of the Services after an update constitutes acceptance of the revised policy, except where additional consent is required by law.
